Crestron AirMedia 2.0 Wireless Presentation Technology The technology that facilitates wireless screen sharing in the South Orange classrooms and conference rooms, Crestron AirMedia, has been updated to a newer version. The new version provides a smoother sharing experience with less delay and improved playback.

As a result, all Seton Hall issued laptops are in the process of being updated to the new version automatically. Anyone that wishes to use a personal laptop or Mac in order to share their screen via AirMedia must first install the new version.

Crestron is a media control network solution for monitoring, managing and controlling meeting spaces and building automation, such as A/V, lighting, IT and security. The system allows the user to monitor, manage, and control everything from one platform. A Crestron system consists of different devices including management processors, I/Os, switches, touch screens and panels to manage custom solutions.

The Crestron module allows system designers and integrators to define a custom user interface for a d&b system. By means of the d&b Crestron module, the user interface can be connected to any Ethernet compatible d&b amplifier which can then be accessed via the Crestron control network. With a recent update to the XiO Cloud platform, enterprises can now integrate their Crestron XiO Cloud account with the ServiceNow platform, to enable streamlined viewing and management of alerts for your entire estate of workplace technology. This post will guide you through integrating the two platforms, enabling alerts to flow from XiO Cloud to ServiceNow. For example, you can have a ServiceNow incident created if a system goes offline or a microphone or camera stop working properly.

Prerequisites & Assumptions:

  • You must have an XiO Cloud account, running at release 1.23 or above. (XiO Cloud platform updates are handled automatically by Crestron. As of July 2021, the current release is 1.27.)

  • You must have XiO Cloud support licenses for each room that will generate alerts. (XiO Cloud licenses can be managed by going to Settings -> Services).

  • You must have a ServiceNow account, and this guide is based on the ‘Quebec’ release.

Integration Overview:

  1. Create incident management scripts in ServiceNow.

    • These will be used for two types of actions: creating and closing incidents.

  2. Add contact and category information for XiO Cloud alerts in ServiceNow.

    • This enables you to properly tag and route tickets.

  3. Enable ServiceNow integration and add ServiceNow email address to XiO Cloud.

  4. Enable ServiceNow for each alert you wish to be sent from XiO Cloud to ServiceNow.

Create Incident Management Scripts in ServiceNow

Complete the following steps to create the appropriate inbound email actions in ServiceNow, and reference the screenshots below to ensure everything is in the proper location.

  1. In ServiceNow, navigate to System Policy -> Inbound Actions in the navigator.

  2. Create a new Inbound Email Action with the following attributes:

    • Name: XiO Cloud - Create Incident

    • Target table: Incident [incident]

    • Action type: Record action

    • Active: Yes (checked)

    • Stop processing: Yes (checked)

  3. On the When to Run tab, set the following condition:

    • Execution Order: 70 (this can be modified, but should be higher than that for the Close Incident action.)

    • Subject contains Crestron-XIO: NEW Incident

  4. On the Actions tab, add the following script:

  5. Submit / save the new action that has just been created to handle creating incidents.

  6. Create a new Inbound Email Action with the following attributes:

    • Name: XiO Cloud - Close Incident

    • Target table: Incident [incident]

    • Action type: Record action

    • Active: Yes (checked)

    • Stop processing: Yes (checked)

  7. On the When to Run tab, set the following condition:

    • Execution Order: 60 (this can be modified, but should be lower than that for the Create Incident action.)

    • Subject contains CLOSED Incident with CorrelationID#

  8. On the Actions tab, add the following script:

  9. Submit / save the new action that has just been created to handle creating incidents.

Add Contact and Category Information for XiO Cloud Alerts

  1. In ServiceNow, navigate to System Security -> Users in the navigator.

  2. Click New to create a new user / contact, and add the following information:

    • User ID: Crestron XiO Cloud (can be customized to fit your environment)

    • First Name: Crestron (can be customized to fit your environment)

    • Last Name: XiO Cloud (can be customized to fit your environment)

    • Email: [email protected] (this is fixed and used by XiO Cloud to send alerts)

    • Active: Yes (checked)

  3. Navigate to Incident -> All and open any incident record (it can be unrelated to XiO Cloud). If you don’t already have an incident record available, temporarily create one by clicking the New button.

  4. When looking at the incident, right-click the Category header, and select Configure Choices.

  5. In the Enter new item section, type xio and click Add.

  6. Click Save to save your changes and return to the incident.

Enable ServiceNow Integration in XiO Cloud

  1. In XiO Cloud, navigate to Settings -> Account Setting.

  2. In the ServiceNow section, turn on the Enable ServiceNow toggle.

  3. Add the email address that is used to create ServiceNow incidents in the Email Address field. While this will vary based on your environment, it can be found in Servicenow by going to System Mailboxes -> Email Accounts.

  4. Click Save Changes in the ServiceNow section.

Enable ServiceNow for alerts in XiO Cloud

ServiceNow alerts can exist in addition to the default email and text message alerts from XiO Cloud. In order to control which alerts are sent to ServiceNow, turn on the toggle for Enable ServiceNow. This toggle can be found by selecting a Device Model from the drop down and viewing the configured alerts.

  1. In XiO Cloud, navigate to Settings -> Alerts.

  2. Select a relevant Device Model in the drop down. For this example, we’ll look at UC-ENGINE alerts.

  3. If you already have alerts defined for the status fields you wish to monitor, simply enable the toggle for Enable ServiceNow.

  4. If you would like to create new alert type, click Action -> Add Alert. Select the correct device model, status field, and status, then set a delay and severity for the alert. Once the alert has been added, you can then enable the toggle for Enable ServiceNow.

Viewing ServiceNow incidents created from XiO Cloud

Once the steps outlined above have been completed in XiO Cloud and ServiceNow, you are able to test the integration and ensure things are working properly. First, we’ll need to generate a new alert in XiO Cloud to send something to ServiceNow. An easy way to generate an alert would be to unplug a device (therefore generating a Device Offline alert), or to temporarily add an alert for something simple like mute status. Once this has been triggered, wait for the delay period configured in XiO Cloud, and you should then see the alert in ServiceNow. Let’s take a look at two relevant examples, both related to a Flex system.

In the first example, we can see that an incident has been created because the camera connected to a UC-Engine has become unhealthy. This could be the result of it being unplugged, or otherwise not responding to the compute. In this case, someone will want to check the connections and do some basic troubleshooting to bring it back online.

In the second example, we can see that an incident has been created because a UC-Engine has gone offline, but was subsequently closed. This could be the result of a network or power outage; but since it has been closed no further action is required.

Next Steps

Additional options can be configured within ServiceNow, such as the ability to adjust impact and urgency of XiO Cloud incidents. By default, if an XiO Cloud alert is Critical it will have an impact and urgency of 1, while a Warning will have an impact and urgency of 2. An alert of any other type will have an assigned priority of 5.

ServiceNow integration is just another advancement that furthers the role of XiO Cloud in your environment. Stay tuned for other exciting updates to the platform!

Since the launch of Crestron XiO Cloud, the platform has provided a full management experience for Crestron devices. The tool enables IT teams to manage and monitor their AV devices remotely, and leverages a unique cloud-first approach to device management. Until now, XiO Cloud was limited to managing just Crestron devices, but with the recent release of the XiO Cloud Gateway, 3rd party devices can be managed and monitored as well. This post will walk you through how to leverage the new XiO Cloud Gateway to bring management and monitoring of 3rd party devices into your XiO Cloud environment.

Prerequisites & Assumptions:

  • You must have a properly configured Red Hat Enterprise Linux (or CentOS) server with Crestron Virtual Control (VC-4) installed. Complete instructions for installing VC-4 on RHEL can be found in the VC-4 installation guide.

  • The VC-4 server must have network connectivity to the devices you wish to monitor and manage.

  • The devices you wish to monitor and manage with XiO Cloud must support one of the following management protocols: Crestron Certified Drivers, TCP port monitoring, Ping monitoring, or SNMP (simple network management protocol).

  • XiO Cloud Device Gateway requires VC-4 version 2.4557.00147 or later.

Configure VC-4 Server

For this example, I created a new Red Hat Enterprise Linux virtual machine in Hyper-V on my Windows server. For this post, I won’t dive into the specifics of creating a RHEL VM, as this process varies depending on your host and virtualization platform.

Once you have a RHEL (or CentOS) server ready to go, download the latest VC-4 package from the Crestron website. Once you have downloaded this file, follow the instructions on pages 3 and 4 of the Virtual Control installation guide to install the server software. Once this process has been completed, access your VC-4 server Web UI by navigating to the below URL, replacing [Server] with your VC-4 servers IP address or hostname.

You should be greeted with a page similar to the following:

Claim VC-4 server into XiO Cloud

Once you have reached the VC-4 server landing page, expand the Device Info accordion on the Status page. Record the Serial Number and MAC Address of your VC-4 server. These two pieces of information will be used to claim the server into XiO Cloud.

Navigate to the XiO Cloud portal (portal.crestron.io) and login with your credentials. Click the Groups / Environment tab on the left, click the menu (three lines) next to Unassociated Devices, then click Claim Device. Enter the serial number and MAC address of your VC-4 instance from the previous step, and click claim. You should then receive a claim success message. If the claim is unsuccessful, verify the VC-4 server has internet access.


Once you have claimed your VC-4 server into XiO Cloud, it will show up in the Unassociated Devices section. Drag the device into a room in your hierarchy. In this example, I have placed the VC-4 server in my ‘Equipment’ room.

Once you select the VC-4 server, you should see the server come online after a few minutes.

Add Connected Devices to VC-4 server

To begin adding 3rd party devices to XiO Cloud, click on the Connected Devices tab of the VC-4 server, then click Add Connected Device in the upper right (outlined in red below).

When you add a connected device, you will be given the option to select the connection method. The four options are: Crestron Certified Driver, Monitored Device - Ping, Monitored Device - TCP, and Monitored Device - SNMP. The first device we will add is a Samsung TV, utilizing the Crestron Driver.

Crestron Certified Drivers

First, enter a name for your device, then change the Type drop down to ‘Crestron Certified Driver’. Second, click the Add New Driver icon (outlined in red). Search for your device type, and select the appropriate driver from the list. This list will be automatically populated from the Crestron Driver portal, which is constantly growing. Once you have selected the appropriate driver, click Add Driver.

After the driver has been selected, you will see a few additional fields that need to be filled out. For my Samsung TV, I am asked for the IP address and MAC address of the display. The fields shown will vary based on device type and model, as different devices require different pieces of data. Additional information and notes for the selected model are shown at the bottom of the window. Once you have filled out this information, click Add Device.

You will see the device come online once the driver initializes and is able to connect. Some devices, such as my Samsung TV, require enabling IP control in the TV settings, and accepting the incoming connection. After adding the device through XiO, the TV showed the prompt in the image to the right. Once I used the remote to select Allow, my TV came online in XiO Cloud.

The next step is to move the connected device into the appropriate room. This can be done by dragging the cloud icon to the correct room in the hierarchy on the left side of the XiO portal. Alternatively, you will see the 3rd party devices shown in the Unassociated Devices section of the XiO Cloud sidebar, and they can also be moved from there.

Now, you can click on the device to see it’s status information (power, input, volume, etc). You can also use the actions menu to issue commands to the device (for example, power on / off).

You can even click on the Scheduled Actions tab to configure recurring commands to be sent to the device. For example, this could be useful to turn the display on each morning and off each evening. You are able to set custom recurrence schedules by clicking on the plus (+) icon next to the PowerOn or PowerOff actions.

Adding Other Devices

While Crestron Drivers are ideal if there is a driver for the device (or if one can be written), you are also able to leverage other methods to connect to 3rd party devices. The process and flow in XiO Cloud is generally the same as when using Crestron Drivers.

TCP Port Monitoring

The next device that we will add to XiO is a simple HTTPS web server. Here, I simply enter the IP address of the server, select a frequency and retry count for determining if the device goes offline, and the port I wish to monitor. Once all of the information has been entered, click 'Add Device’ and XiO will check if the port is open on the device at that address.

Ping (Status Monitoring)

The most basic level of monitoring through XiO is a simple ping. Similar to pinging the device from a command prompt, the XiO Cloud Connector will reach out to a certain IP address or hostname, and see if it receives a response. Similar to TCP Port monitoring, you are able to configure frequency and retry count to avoid inaccurate alerts if one ping is missed, for example. In this example I will add an ethernet switch that I wish to ensure is online.

Now that we have added three 3rd party devices to XiO using the Cloud Connector, we can see the status of these devices in XiO Cloud, and even control them or configure scheduled actions to occur through XiO Cloud, just like we saw with my TV.

Configure Alerts for Connected Devices


Finally, let’s examine some of the alerts that are available for 3rd party devices in XiO Cloud. Your alerting configuration and methods will still be preserved, just like what is available for Crestron devices. With a recent release of XiO Cloud, you can even integrate with ServiceNow for alerting.

Let’s add some alerts to our TV that we added earlier. To do this, navigate to the Settings page in the sidebar, then click Alerts. Here, you will be able to see any alerts that have already been configured, or you can add a new one by clicking the Actions menu in the upper right corner, then Add Alert. Each 3rd Party device added with a Driver will fall into a defined category that is visible within XiO Cloud as the Device Model. For example, my TV is a ‘VideoDisplay’, whereas a Roku would be a ‘VideoServer’.

We can see that we have several options for each Device Model, but for this TV we have things like offline status, driver status, mute status, etc. Projectors fall into the same device model category, where alerts such as filter replacement needed or lamp error detected would be more relevant and would make sense to configure.

You can also get an alert for offline status for devices integrated with Ping or Port Monitoring, as seen below.

The addition of 3rd party devices is a powerful step forward for XiO Cloud, and many more exciting additions are in the pipeline. For example, you will soon be able to accomplish something similar to what we have gone through today using a Crestron Processor as the Gateway device. The combination of both the VM / VC-4 approach and the Processor approach means enterprises can now have a lens into what every device is doing on the network - from the most integrated room to simple hall or lobby displays.

Crestron XiO Cloud enables IT teams to manage and monitor their AV devices remotely, and leverages a unique cloud-first approach to device management and monitoring. This post will walk you through how to work with alerts to ensure your monitored devices are functioning properly.

XiO Cloud alerting is available as part of the Support license, and can be enabled for any rooms in your environment. Alerts can be as simple as reporting if a device is offline, or as complex as letting you know when there are too many people in a given space. This post will walk you through how to create alerts and set alert thresholds, configure alerts for various products, and highlight some best practices with regards to XiO Cloud alerting.

Step 1: Configuring Alert Methods and Thresholds

Alert Methods

The first step in getting started with XiO Cloud alerting is to configure alert methods for your users. This can be done by going to the Users menu, then clicking on each user and adding their email or phone number in the appropriate fields. You can also use a distribution group or helpdesk email to streamline notifications.

Alert Thresholds

The second step in configuring XiO alerting is to set alert thresholds for each room or group. This is a powerful feature of XiO Cloud which enables you to build in escalation chains for notices about devices. For example, we might want to only critical alerts for Conference Room 123, receive every alert greater than a warning for Connor’s Office, and receive no alerts for the Customer Demo room. We will define which alerts are included in each threshold in Step 2. Keep in mind that these settings are per user, so you can have different people receive different levels of alerts.

Step 2: Configuring Alerts

There are many types of alerts available in XiO Cloud, but I will highlight some of the more common and important ones here, such as devices going offline, Flex peripherals going offline, and Flex occupancy counts being exceeded.

All Devices

Offline Alert

This simple alert applies to all devices, and it is arguably the most important one to set. If a device is offline it will certainly prevent the technology from working properly, resulting in a less than ideal user experience.

Collaboration Peripheral Offline

With conferencing systems, it is important that the collaboration peripherals (camera, mic, and speakers) are always ready to go. Audio and video form the basis of any collaboration session, so if these peripherals are unavailable it can prevent meetings from being productive.

Occupancy Count Exceeded

One unique feature of Crestron Flex systems is the ability to generate an alert when too many people are detected in a room. In a time where social distancing is so important, this enables teams to enforce room occupancy limits, and be alerted if they are exceeded.

Processors (3 and 4 Series)

Program Stopped

If a control processor’s program stops, the room won’t work properly as the custom program isn’t running. This type of alert enables you to proactively check on any systems reporting such a status, and work towards a resolution to get the room back up and running.

Step 3: Viewing Alerts

Depending on the alerts that you have set, you will get an email / text, or see them listed in the web portal under the Alerts section. You will see if the alerts are active (meaning there is still an issue), or resolved. You also have the ability to clear any older alerts that you may not want to keep.

Alerting Best Practices

  1. Offline Alert Threshold

    • It is a good idea to set the delay for Offline Alerts to 0 Minutes, as it will take a few minutes (generally around 15-20) for the device to report as offline with XiO Cloud. This built-in buffer ensures that you aren’t receiving alerts for momentary network issues where the device can’t reach the cloud service.

  2. Alert Subscription Optimization

  3. Setting Actionable Alerts

    • It is a good idea to only set alerts for things that you can control or correct, such as if a processor’s program stops or if a Flex systems camera becomes unhealthy. These are both examples of things that have a remedy; you could restart a program or check on a camera.

  4. Use Alerts Batching

    • In XiO Cloud’s Alerts section, you can enable Alerts Batching for each device type. This will provide one digest-style email that will contain all of the alerts for that type of device, instead of individual emails for different conditions. This allows you to minimize distraction and solve any potential problems quicker.

Crestron XiO Cloud enables IT teams to manage and monitor their AV devices remotely, and leverages a unique cloud-first approach to device management and monitoring. One benefit of SaaS solutions like XiO Cloud is that companies can continuously provide feature updates and improvements with little to no action required by the user. One new feature that was added to XiO Cloud is the ability to retrieve and download device logs, and you can now fully monitor your devices remotely. This post will walk you through how to retrieve and download logs from your Crestron devices, both on demand or with a schedule.

To access device logs, there are a few things to keep in mind. First, your device must be updated to a recent version of firmware (specific versions required are listed at the bottom of this post). Second, your device must be online to retrieve logs when the command is issued. Finally, once they have been retrieved from the device, logs are kept in the cloud and available for download for 30 days.

Retrieving Logs on Demand

If you are troubleshooting a device or working with Crestron Support, it is often helpful to gather logs for a device. These steps will show you how to download logs on demand, whenever it is necessary for troubleshooting.

  1. Log into the Crestron XiO Cloud portal, and navigate to a specific device in your Environment hierarchy.

  2. In the Action menu (located in the upper right corner), click Retrieve Logs.

  3. Click on the Logs tab, and expand the Device Logs accordion (located below Cloud Activity Logs).

  4. Click the file download icon next to the log file you wish to download.

If you would like to have device logs automatically retrieved by XiO Cloud and ready for download on demand, you can create a scheduled action to retrieve device logs.

  1. Log into the Crestron XiO Cloud portal, and navigate to a specific device in your Environment hierarchy.

  2. Click on the Scheduled Actions tab, and expand the Request Device Log Files section.

  3. Click the plus icon (+) to add a new schedule for device retrieval. There are various options to setup a recurrence schedule. In this example, I have the logs set to be retrieved each Monday at 2:00am EST. Once you have configured the schedule, click Save.

  4. You can add multiple schedules if you wish, or you can delete them by clicking the minus icon (-) to remove a schedule entry.

Minimum Firmware Versions for Log File Retrieval via XiO Cloud

The following firmware versions are required for log file retrieval from XiO Cloud. You can update your devices to the latest firmware via XiO Cloud if needed.

  • 3 Series control systems: 1.603.0038

  • 4 Series control systems: 2.4508.00018

  • AM-200/300: 1.4493.00039.003

  • Mercury: 1.4395.0008.001

  • NVX: 3.0.4472.00069

  • TSW-560/560P/760/1060: 2.009.0122.001

  • TSS-7/10: 2.009.0122.001
